Three Lesser Known Yet Important Features in UKG Pro

For some of you UKG experts out there, this might be redundant, but for others this might be new information. There are so many great features within UKG Pro that we overlook or think they might not be the right fit for our organization. Here are three features that I want to call out and bring to your attention.  

Communication Broadcast  

Communication Broadcast is a feature within UKG Pro that allows users to send messages via email, SMS text messages, and mobile push notifications. SMS functionality is an optional add-on that incurs a usage charge per recipient. Users can send messages, review sent messages, receive acknowledgments, track message receipts, and resend messages to employees who have not acknowledged receipt. Communication Broadcast is not intended for emergency notifications, and it is advised not to request personal identifying information through these messages. To enable this feature, specific settings must be adjusted within the system, and access can be granted to designated roles.  This feature is great if you are looking for a means to provide messaging do you organization.  

Document Acknowledgement 

Document acknowledgment setup allows administrators to manage documents that employees need to acknowledge. To create or modify a document acknowledgment, select “Add” to configure a new document or click on an existing document’s title to change its settings. Key fields include the document title, message to employees, category, display order, effective date, and expiration date. Administrators can also attach files, with a size limit of 5 MB, and specify acceptance and refusal messages. Once saved, the acknowledgment will be distributed to employees who meet the specified qualifiers, such as job title or pay group. Changes to qualifiers can be made to include or exclude specific employees as needed. Organizations who need employees to review documents or even attest to the document should use this feature.  Great for employee handbooks, non-solicit, non-compete, or code of conduct materials and review.  

Company Property  

Company property refers to items assigned to employees for work purposes, such as laptops, mobile phones, and company credit cards. These items can be tracked by adding a property record to the employee’s record, which includes details like the assignment date and property type. When the property is returned or no longer needed, the record can be deleted from the employee’s record. While most organizations who have asset trackers use other systems, this is a tool that has been seen and used by smaller organizations an in the nonprofit space.  

While these three items are certainly not new features in UKG Pro, they are features that have been around for some time and sadly are not fully utilized by many organizations. I strongly encourage users to take the time to fully review these features and determine if they can help their company.
